How we protect your personal Information

Aelite is very concerned about safeguarding the confidentiality of your Personal Information. Children’s Privacy

Within the terms of the agreement with the data controller (our software clients), and its contract, a we may decide:

  • The detail of the security surrounding the personal data;
  • The means used to transfer the personal data from one organisation to another;
  • The means used to retrieve personal data about certain individuals;
  • The method for ensuring a retention schedule is adhered to;

Direct access to databases

As Software hosting and storage provider Aelite only store data requested by its clients.

  • Data is stored in databases on secured servers
  • Aelite can securely access the stored data
  • Data is never downloaded unless requested by the client.
  • Data is never accessed unless required.
  • Data is never seen by or passed to a third party.
  • Data will be stored until it is requested by the client to remove the data.

 

Access Via Software Interfaces

Access to data through our software is secured and password protected

Passwords are regularly changed and comply with security protocol for complexity

Access to software is not given to anyone except the client and Aelite support team members.

We have undertaken an analysis of the risks presented by our processing, and use this to assess the appropriate level of security we need to put in place.

When deciding what measures to implement, we have taken into account of the state of the art and costs of implementation.

We make sure that we regularly review our information security policies and measures and, where necessary, improve them.

We have put in place basic technical controls such as those specified by established frameworks like Cyber Essentials.

We understand that we may also need to put other technical measures in place depending on our circumstances and the type of personal data we process.

We use encryption and/or pseudonymisation where it is appropriate to do so.

Understand the requirements of confidentiality, integrity and availability for the personal data we process.

We make sure that we can restore access to personal data in the event of any incidents, such as by establishing an appropriate backup process.

We conduct regular testing and reviews of our measures to ensure they remain effective, and act on the results of those tests where they highlight areas for improvement.

Where appropriate, we implement measures that adhere to an approved code of conduct or certification mechanism.

We ensure that any data processor we use also implements appropriate technical and organisational measures.

 

The rights of your clients

As a third party provider, Aelite does not have contact with the persons named in the stored data.

Your clients have the right see, amend and request removal from the stored database.

It is your responsibility to request this from us on their behalf.

Requests will be honoured within in the 30 day processing time

 

Data Breach Procedures

We are registered with the ICO (information Commissioner’s Office) In the unlikely event of a data breach both you and the ICO will be notified within 72 hours.

 

Payment Services

Our software does not collect, store or pass payment information this is undertaken by a third party payment processing facilities.

 

Updates to this Privacy policy

This Privacy Policy may be updated from time to time for any reason; each version will apply to information collected while it was in place. We will notify you of any modifications to our Privacy Policy by posting the new Privacy Policy on our Site and indicating the date of the latest revision. You are advised to consult this Privacy Policy regularly for any changes.

In the event that the modifications materially alter your rights or obligations hereunder, we will make reasonable efforts to notify you of the change. For example, we may send a message to your email address or generate a pop-up or similar notification when you access the Service for the first time after such material changes are made.
